Prepare the contact plan before departure

Save your rental confirmation, flight number, pickup instructions and contact method offline. Check which number or channel the company wants you to use for a delay.

A flight number helps identify the trip, but do not assume it automatically changes office hours or holds a vehicle indefinitely. Your provider's written policy governs the arrangement.

Update the information that matters

Send the revised flight number if you are rerouted, the new arrival date and airport code, and the best current arrival estimate. A change from SJO to LIR is a major location change that needs a new explicit arrangement.

Avoid promising a precise pickup time before you have collected baggage. Explain whether you are still in transit, have landed or are ready after airport formalities.

Reconsider the first-night drive

A delay can turn an easy daylight plan into a difficult late transfer. Contact the hotel about check-in and consider a nearby overnight option if the long drive is no longer sensible.

If luggage is delayed, complete the airline's procedure while at the airport. Then tell the rental company why you are not yet ready. Keep the claim documents and the essentials for the next day accessible.

Confirm the revised rental terms

Ask the provider to confirm the adjusted pickup, any effect on the booking and the next step in writing. Do not assume unused hours change the return time or price automatically.

Once the plan is settled, update the first hotel and any activity operator affected. The goal is a clear new schedule, with enough room to collect the car carefully and start the journey rested.

Before you go

  • Save the confirmed pickup or return instructions offline.
  • Check the airport code and the rental location.
  • Allow time for luggage and vehicle handover.
  • Keep the first or final drive realistic.
