Work backward from the airline's deadline

Use your airline's current check-in and bag-drop requirements as the fixed point. Before that, allow time for the transfer to the terminal, vehicle inspection, unloading and the drive to the return location.

There is no single buffer that fits every flight and hotel. Traffic, rain, group size and special assistance can all increase the time needed.

Use the confirmed return pin

Save the exact rental return location before the final morning. The airport departures terminal and a rental office are different destinations unless your booking expressly says otherwise.

Confirm return hours, shuttle arrangements and the contact method if you are delayed. If your plans changed during the trip, have the rental company confirm the revised return rather than relying on an informal assumption.

Refuel and prepare the vehicle

Follow the fuel level and fuel type specified in the agreement. Choose a practical station along the route and allow time for a queue. Keep the receipt until the return is complete.

Remove personal belongings from door pockets, seat-back pockets, the luggage compartment and charging ports. Check beneath child seats and the seats themselves. Take your phone mount, toll cash and any small items stored out of sight.

Finish the handover before heading to the terminal
